Philanthropic and Nonprofit Services Associate - This role is integral to building and maintaining meaningful relationships with donors and nonprofit fund holders, ensuring exceptional customer service, and supporting the administrative aspects of fund development and fund management initiatives.

What We’re Looking For

The associate will support both the philanthropy and innovation teams. This role is integral to building and maintaining meaningful relationships with donors and nonprofit fund holders, ensuring exceptional customer service, and supporting the administrative aspects of fund development and fund management initiatives. The associate will handle a variety of tasks that contribute to both teams’ successful performance, while representing CICF’s values and maintaining high ethical standards.

 

Responsibilities 

Client Services Support: 

• Assist in providing exceptional experiences for donors and nonprofit organizations that hold funds at the Foundations. 

• Help maintain and develop relationships with donors and fund holders, ensuring they fully utilize available services and support. 

• Assist the Donor Engagement Team with nonprofit organization research and developing write ups regarding nonprofit organizations that can be shared with fundholders considering their philanthropic support. 

• Aid in creating and implementing training and resources to support nonprofit fund holders. 

 

Administrative Support: 

• Accurately and promptly input and maintain contact and interaction data for existing fund holders and prospects into Salesforce CRM system. 

• Provide user support to nonprofit organization fund holders who have access to the CICF fundholder portal. 

• Provide administrative support for the Nonprofit Sustainability Network, including scheduling, communication, and documentation 

• Assist the Scholarship Team to support efforts related to the application process as well as support any administrative needs as part of the selection process. 

• Assist in preparing investment/financial report presentations in conjunction with accounting staff. 

• Assist the Donor Engagement Team with documenting and record keeping support as it relates to maintaining Salesforce information that will allow donor engagement and development teams to provide top quality support, cultivation and stewardship of our fundholders. 

 

Collaboration and Coordination: 

• Assist Scholarship Team with any document and record keeping support including helping with data tracking and assisting with any wrap around services that are part of the scholarship process. 

• Foster a professional, entrepreneurial, and collaborative culture. 

• Collaborate with other team members at CICF, IF, and HCCF to maximize benefits for fund holders and the community. 

• Coordinate with the Giving Strategies team to support marketing and sales efforts among key nonprofit organization prospects. 

• Support efforts to cultivate additional contributions into existing funds and the creation of new funds. 

 

Event Support: 

• Assist in planning and coordinating educational programs and training sessions for fundholders. 

• Support off-site events, such as community events and meetings, which may require occasional evening and weekend hours. 

 

General Administrative Tasks: 

• Handle confidential information with discretion. 

• Manage correspondence, schedule meetings, and maintain organized records. 

• Assist with nonprofit board education, planned giving program development, donor solicitation strategies, and recognition efforts. 

• All other duties as assigned. 

 

 JOB QUALIFICATIONS AND REQUIREMENTS:

The following are the qualifications and minimum requirements necessary for a person to perform this job: 

• Strong organizational, time management, and workload prioritizing skills. 

• Excellent verbal and written communication skills. 

• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). 

• Ability to work collaboratively as part of a team and independently with minimal supervision. 

• Ability to travel between multiple office locations as needed. 

Preferred Qualifications: 

• A bachelor’s degree in a related field is preferred. 

• Minimum of three (3) years of administrative experience, preferably in a nonprofit or financial services environment. 

• Familiarity with Central Indiana, its communities, critical issues, key organizations, and civic leaders. 

• Experience in relationship management and client support. 

 

Working Conditions: Flexible hybrid office environment (in office three days a week). Home base–English Foundation Building in downtown Indianapolis, plus additional space and expectation of presence in Hamilton County Community Foundation’s Fishers office.
