Summary:

This position is responsible for providing general events support and communications support for the Foundation.

Responsibility 1: Signature, Nonprofit and Leadership Events

  • Work with Foundation staff to support all Foundation-sponsored programs and events, including coordinating arrangements, maintaining project timelines for multiple events varying in size and scope, and tracking event budgets.
  • Manage and coordinate with third-party vendors supporting all Foundation-supported programs and events.
  • Promote community meeting spaces to eligible Allen County nonprofits to maximize usage.
  • Coordinate with building maintenance technician for room setup and technology usage for nonprofit meetings.
  • Provide training and support for technology needs at all meetings and events hosted at the Foundation.
  • Flexible work schedule to coincide with both daytime and evening events.

Responsibility 2: Communications

  • Assist with development and the execution of the Foundation’s overall marketing and communications strategy.
  • Participate in monthly marketing strategy meetings and bi-weekly status meetings for ongoing communication initiatives.
  • Respond to grant-related publicity requests and manage use of Foellinger Foundation logo and brand.
  • Manage communications including annual report, press releases, and social media posts with marketing consultant.
  • Review consultants’ press release drafts, when applicable, and provide to President/CEO for review. Provide all information for press communications to marketing consultant. Develop various grant announcement press releases and send to media outlets as appropriate. Provide all information for press conferences to marketing consultant. Review consultant drafts and provide to President/CEO for further changes. Distribute final documents.
  • Produce Foundation program materials used for various special events.
  • Work with the Program Team Members to promote grant opportunities, grant deadlines, and technical assistance workshops.
  • Work with the Program Team to update all grant, leadership, and evaluation documents and website information.
  • Work with marketing consultant to create presentations and other graphic compositions to illustrate Foundation-related ideas and messages.
  • Maintain and edit forms, manuscripts, reports, and other special communications.
  • Responsible for all communication activities for special events. Secure background information from lecturer and work with Administrative Assistant to create invitations. Work with marketing consultant in the development of the event script, and presentation support as applicable, announcement to the media, news release, and information on special grant opportunity, if applicable. Work with Administrative Assistant to ensure smooth flow of special events.

Responsibility 3: General Administration

  • Provide administrative support to the President/CEO.
  • Compose routine correspondence and forms.
  • Coordinate with Administrative Assistant to plan Board and staff holiday party.
  • Coordinate with Administrative Assistant that all food and beverage items are stocked in their appropriate places for meetings.
  • Other duties as assigned.

Supervisory Responsibilities:

None required for this position.

Education and Experience:

  • Bachelor’s Degree preferred
  • Minimum of 4 years of experience in an office environment
  • Proficient in Microsoft Office.
  • Time management skills, especially the ability to work on multiple projects simultaneously.
  • Experience with communications support is highly valued.
  • Experience with sophisticated audio/video equipment preferred.
